Departmental Overview:

The statutory functions of Store Department being service center, whereby all material procured or donation are being received from the right sources and to ascertain the quality and quantity of items being delivered for the Hospital services and also to take care of all request from each department and Unit by issuing them the required material or item needed for the smooth running of the Hospital’s activities to avoid service disruption.

OBJECTIVES OF STORE AND SUPPLIES DEPARTMENT

1.       Receiving of Supplies

2.       Inspection of incoming supplies

3.       Issuing of items

4.       Ensuring service conformity

5.       Facilitate prompt payment to Vendors for supplies made and goods received.

6.       Keeping proper records of stock on both soft and hard copy

7.       Providing management with information on stock level

8.       Receiving and safekeeping of obsolete items.

FUNCTIONS OF STORE AND SUPPLIES DEPARTMENT

The major routine work performed by the department are as follows;

(a)     Receiving of supplies: The stores department has been responsible for receiving all supplies either cash, award or donated items ensuring the required standard as stipulated by the hospital accordingly.

(b)     Inspection of Supplies: Since the inception of the hospital, it has been made mandatory for every supply to the hospital must pass through the inspection processes before fully taken on charge.

This inspection process involves the user department, internal audit, planning unit and the inspection team leader (a consultant or assist director of pharmacy). This team is to ensure that the item supplied meet the medical standard as recommended by the hospital or specified in the approval.

(c)     Issuing of items: Stores also takes care of all issuance of items held there in to users as the needs arises vied requisition booklet to sustain their day to day activities.

(7)     Medical Oxygen Plant Store Unit:- This unit of store is design to keep proper records of all the movement of the oxygen from the Oxygen Plant Station both the internally used on in-patient and out-patient by anesthesia in the hospital main operating theatre and wards and those sold to external users on cash and carry basis.

(8)     Implant Store Unit:- This unit situated in the main operating theatre to keep records of all implants supplied to the hospital and their usage on patients on daily basis by conducting weekly reconciliation with the records from internal audit and that of account department as related to the actual usage during the course of operation.

(9)     Liquified (Diesel) Store Unit:- This unit takes charge of the diesel supplied to power all the generators and some truck used in the hospital and transport department respectively as they as well keep the accurate records of what is supplied, dispense and as well as projection for replenishment.

(10)   Store Inventory Management System (SIMS)/Electronic Health Record (EHR):-This unit ensure the reconciliation of soft and hardware records and follow up of all transaction (receiving and issuing) and the movement of stock both consumables and fixed/capital project as well as keeping their up to date inventory and records.
